Tracking Expenses & Revenue
How to log expenses, upload receipts, track revenue streams, and read the financial dashboard.
Accurate expense and revenue tracking is the core of EventSplit's transparency promise. Every dollar logged here flows directly into the Final Report and collaborator payout calculations.
Adding Expenses
From Dashboard → Expenses, click 'Add Expense'. Fill in:
- Expense name and category (Venue, Talent, Marketing, Security, etc.).
- Amount in CAD.
- Date paid.
- Who paid (your name, or a team member's).
- Optional notes.
Once added, expenses start as 'unapproved'. You can approve them individually or in bulk. Only approved expenses are included in the net profit calculation.
Upload receipts as soon as possible. EventSplit tracks your receipt upload rate — this contributes to your Trust Score.
Expense Categories
The available categories are: Venue, Talent/Artist, Marketing, Security, Staffing, Equipment, Insurance, Permits, Catering, Decor, Transportation, and Miscellaneous. Categorizing accurately makes the Final Report more readable for collaborators and sponsors.
Tracking Revenue
The Revenue dashboard tracks income across streams: Ticket Sales, Sponsorships, Vendor Fees, Bar Revenue, Merchandise, and Other. Enter actual revenue as it comes in — not projections. These figures are locked in when you generate the Final Report.
Reading the Financial Dashboard
The dashboard shows three key numbers at all times:
- Total Budget — your planned expenses from the event creation form.
- Actual Expenses — what you've actually spent (approved expenses only).
- Net Profit Estimate — a live estimate based on current revenue minus approved expenses.
The net profit estimate is a projection until you lock in the Final Report. Collaborators understand this — the disclaimer is shown alongside all estimates.
