Inviting & Managing Collaborators

How to send offers, structure payment terms, and manage the agreement and contract signing flow.

Collaborators are the DJs, photographers, MCs, stage managers, sound engineers, and other contributors who make your event happen. EventSplit gives you a structured way to invite them, document the financial terms, and track agreements.

The Three Offer Types

Revenue Share

The collaborator receives a percentage of the event's net profit. Net profit is calculated as: Total Revenue minus Total Approved Expenses minus Platform Fees. This aligns incentives — the collaborator wins when the event does well.

Fixed Fee

The collaborator receives a flat amount regardless of how the event performs. Best for contractors who need predictable income (DJs, photographers, security, etc.).

Hybrid

A base fixed amount plus a revenue share percentage that unlocks once net profit exceeds a threshold you set. Good for key contributors who want both security and upside.

Sending an Invite

From Dashboard → Collaborators, click 'Invite Collaborator'. You'll fill in:

  • The collaborator's email address.
  • Which event this offer is for.
  • Their role (DJ, Photographer, MC, etc.).
  • The offer type and financial terms.
  • Deliverables — what they're expected to provide.
  • Optional: additional custom terms.

The collaborator receives an email invitation with the full offer details and a link to respond.

The Agreement Flow

  1. 1You send the invite — the collaborator receives an email.
  2. 2They review the offer in their Collaborator dashboard and accept or decline.
  3. 3If accepted, an agreement is automatically generated based on the offer terms.
  4. 4Both parties review and sign the agreement electronically.
  5. 5Once signed by all parties, the contract is locked and a PDF is available for download.

Contracts are only downloadable after both parties have signed. Unsigned agreements remain read-only.

Managing Active Collaborators

You can see all collaborators, their agreement status, offer type, and expected payout from Dashboard → Collaborators. Agreements in 'Pending Signature' state are waiting for one or both parties to sign.

Follow up with collaborators directly if they haven't signed — EventSplit doesn't send automated reminders.
